Job Description

We are seeking an experienced and motivated professional to lead, train, and support our office team while overseeing daily administrative and operational functions. The ideal candidate is highly organized, self-motivated, and committed to delivering exceptional service in a fast-paced, team-oriented environment.

This position plays a key leadership role in maintaining office efficiency, supporting team development, and ensuring operational excellence across all administrative functions.

Key Responsibilities

  1. Assist and support office staff, including Job File Coordinators, Administrative Assistants, and Dispatch/Reception personnel
  2. Foster and maintain a positive, professional, and team-oriented office culture
  3. Oversee onboarding, training, and ongoing development of office team members
  4. Coordinate employee meetings, performance reviews, and internal communications
  5. Manage subcontractor certifications, insurance requirements, and compliance documentation
  6. Maintain franchise compliance standards, reporting requirements, and national account program expectations
  7. Track, analyze, and improve office KPIs and operational processes
  8. Serve as the primary administrator for office systems, technology platforms, and workflow management
  9. Manage lead sources and ensure proper tracking, follow-up, and disposition
  10. Support leadership with special projects and additional operational duties as needed

Qualifications

  1. Previous office management, operations management, or administrative leadership experience required
  2. Strong leadership, communication, and organizational skills
  3. Ability to multitask and prioritize in a fast-paced environment
  4. Experience training and developing team members
  5. Proficiency with Microsoft Office and office management software/systems
  6. Strong problem-solving skills and attention to detail
  7. Professional demeanor with a customer-service mindset
